Booking terms and what to expect.
A quick, honest rundown so there are no surprises. Please read before your appointment. If anything here raises a question, just ask. We would rather sort it out now than at the door.
01 How payment works
- Individual and Family sessions. Payment holds your spot. It is due within 24 hours of booking, or before your appointment if that is sooner.
- Signature Experiences (groups). The organizer places a $99 deposit to reserve the date. The deposit is applied toward your total. The balance is due 48 hours before the event.
- Government fees are separate. The U.S. Department of State application fee and the acceptance facility fee are paid directly to the government at your official appointment. They are not part of, or included in, what you pay SurePath.
02 Rescheduling and cancellations
- Need to move your date? With at least 48 hours notice, we will gladly reschedule you once at no charge.
- Individual and Family. Cancel with more than 48 hours notice for a full refund. Inside 48 hours, your payment is not refundable, but we will apply it to one rescheduled session.
- Group deposits. The $99 deposit is non refundable. With at least 48 hours notice it can move to one rescheduled date.
- Life happens. If something serious comes up, talk to us. We are reasonable people.
03 What to bring to your appointment
So we can prepare everything in one visit, please have these ready:
- Proof of U.S. citizenship. A certified birth certificate with a registrar seal, or a naturalization or citizenship certificate. An original or certified copy, not a plain photocopy.
- A valid photo ID such as a driver license or state ID.
- For children under 16. Both parents or guardians present, or the absent parent's notarized consent form and a copy of their ID. We can notarize the consent form on site if needed.
- Names and dates for everyone being prepped, so the applications are accurate.

04 Where we travel, and travel fees
- Included at no extra cost. Davidson, Williamson, Sumner, and Wilson counties.
- Beyond those counties. We are happy to come to you for a small travel fee, calculated at the current IRS mileage rate for the round trip from our base. We quote it before you confirm, so you always know the number first.
05 Our photo guarantee
We take every photo to the official 2x2 inch passport specification and check it before you go. If an acceptance facility ever rejects a photo we took because of a photo specification issue, we will retake it for you at no charge. That is our promise.
06 What we do, and what we do not
We prepare you. We do not issue passports.
- You submit your application in person at an official passport acceptance facility, such as a post office, library, or county clerk. We help you find and schedule that appointment.
- SurePath cannot guarantee approval, and we do not control government processing times. As of now, routine service runs about 4 to 6 weeks and expedited about 2 to 3 weeks, plus mailing time. We always recommend starting early.
07 A note for Signature Experiences
- Group size. Six guest minimum, and the organizer's own spot is on us.
- Drinks are bring your own. If you would like to serve drinks, a private room at a restaurant or winery is a great fit and keeps everything above board. We are glad to help you think through the space.
